GRA Clerk – Logistics Administration

About the role

The GRA Clerk supports DHL Supply Chain South Africa by managing goods receipt administration and ensuring accurate, timely processing of proof of delivery (POD) documents. The role contributes to inventory control, customer service excellence, and continuous improvement of logistics processes.

Key responsibilities

• Perform administrative tasks in line with standard operating procedures (SOPs).
• Extract, compile and submit daily reports on outstanding PODs, RSO’s and heat logs before 10 am.
• Reconcile returns and uplifts, allocate reason codes, and process them in the system within 24 hours.
• Check inbound documents against exit documents, flag missing invoices and coordinate with the transport department.
• Process PODs, credits and customer queries daily, adhering to a 72‑hour resolution target.
• Audit, file and scan all processed PODs, upload them to the Oculus portal or customer portals, and send end‑of‑day reports.
• Monitor KPI performance, investigate outstanding PODs, and ensure timely clearance of reports older than 14 days.

Required profile

• Strong adherence to SOPs, health & safety, legal and security requirements.
• Ability to maintain high standards of customer service while minimizing losses.
• Attention to detail and accuracy in documentation and data entry.
• Capability to meet deadlines and resolve issues within defined timeframes.
