Bid Coordinator - Junior Estimator

About the role

The Bid Coordinator supports the estimating and sales teams by managing bid intake, organizing documents, formatting proposals, entering data into the CRM and coordinating follow-up. The role keeps all project bids accurately tracked, formatted and delivered on time. It is fully remote, with work hours Monday to Friday, 8:00am to 5:00pm EST.

Key responsibilities

• Download and organize bid documents into Dropbox and the CRM.
• Maintain project records (project name, GC, owner, plan stage, etc.).
• Assist the estimator in preparing scope outlines, RFIs and alternates.
• Format polished proposal documents using company templates and keep pricing and scope data consistent across Excel sheets and Word templates.
• Track bid due dates and ensure timely submission; send scope summaries to customers in advance when applicable.
• Manage bid follow-up reports and communicate with Outside Sales, and maintain CRM records of bid outcomes and project stages.
• Support estimating meetings and coordinate between Sales and Estimating.

Required profile

• HVAC or plumbing background preferred.
• Exceptional organizational and communication skills.
• Native-level spoken and written English, able to communicate professionally with customers by phone and email.
• Comfortable in a deadline-driven, detail-oriented environment.

Required skills

• Expert-level Microsoft Excel and Word.
