Clinician Onboarding Specialist (Part-Time, Remote)

About the role

A fast-growing virtual behavioral health platform is looking for a Clinician Onboarding Specialist to own the onboarding experience of new clinicians. The role takes over a high-priority function that shapes how hundreds of clinicians start, and involves leading three-hour live onboarding calls, walking them through the EHR and payroll systems, and preparing materials and follow-up. It is currently about 20 hours per week and is fully remote.

Key responsibilities

• Lead three-hour live onboarding calls with newly hired clinicians via video conference, sharing your screen and guiding them through the EHR platform (workflows, documentation, scheduling, navigation).
• Walk clinicians through the payroll system, including timesheet entry and setup in Rippling or a comparable platform.
• Keep large groups engaged and confident, answering technical and process questions live.
• Prepare materials, presentations and setups before each session, and coordinate logistics such as participant lists and calendar invites.
• Follow up on clinician questions by email or messaging, track outstanding ones and escalate complex or clinical questions internally.
• Flag recurring questions, confusion points and friction in the process, and help improve onboarding materials, scripts and workflows.

Required profile

• Healthcare experience, ideally in behavioral health, therapy or clinical support.
• Experience walking clinicians or staff through onboarding processes, including healthcare guidelines, policies and platform navigation.
• Strong written and verbal English; an accent is fine as long as communication is clear and confident.
• High energy and presence on live video calls, able to engage a large group for an extended session.
• Well organized and self-directed, able to manage several cohorts at once.
• Availability Monday to Friday, 9 AM to 5 PM Pacific Time.

Required skills

• Familiarity with EHR platforms; Tebra is a strong plus.
• Familiarity with payroll systems such as Rippling, Gusto or similar; Rippling experience preferred.
• Proficiency with Google Workspace, Notion, Airtable and similar tools.

Nice to have

• Credentialing, revenue cycle management, scheduling or provider support background.
• Onboarding experience at a telehealth, virtual care or behavioral health platform.
• Experience managing onboarding programs for large cohorts.
