Behind-the-Scenes Events Administrator

About the role

We are seeking a highly organised Behind-the-Scenes Events Administrator to manage the administrative and logistical functions of our busy events and hospitality operations. You will ensure stock is accounted for, paperwork is accurate, and supplies arrive on time, keeping the bar and event areas running smoothly.

Key responsibilities

• Maintain inventory records, track stock levels and coordinate deliveries.
• Process invoices, purchase orders and monitor cost tracking.
• Prepare and manage spreadsheets, schedules and other documentation.
• Support the events team with logistical planning and on‑site coordination.
• Ensure all files are correctly named and stored for easy retrieval.

Required profile

• Detail‑oriented with excellent organisational and record‑keeping abilities.
• Calm under pressure and able to meet tight deadlines.
• Fluent in English and Afrikaans.
• Experience in hospitality, events, retail or logistics is advantageous.
• Relevant qualification in administration, business or hospitality is a plus.

Required skills

• Proficiency with spreadsheet software (e.g., Excel).
• Familiarity with POS systems and inventory management tools.
• Basic financial administration (invoices, purchase orders).
• Experience with Acumatica, Oracle NetSuite, Microsoft Dynamics 365 Business Central or Sage Intacct.
