Fleet Controller Assistant

About the role

We are looking for a proactive and detail‑oriented Fleet Controller Assistant to support the efficient coordination and administration of our fleet throughout the project lifecycle. You will help ensure that all vehicles, plant and equipment are utilised, maintained and operated in line with company procedures, safety regulations and project requirements.

Key responsibilities

• Assist with daily coordination and scheduling of company vehicles, plant and equipment.
• Monitor vehicle movements using fleet tracking systems and keep accurate utilisation records.
• Coordinate servicing, preventative maintenance, repairs and inspections to minimise downtime.
• Maintain fleet documentation such as licences, registrations, insurance, permits, service records and inspection reports.
• Record fuel consumption, kilometre readings, maintenance costs and other performance data.
• Liaise with drivers, operators, mechanics, suppliers and project teams to ensure smooth fleet operations.
• Support incident reporting, vehicle breakdown coordination and accident documentation.
• Prepare daily, weekly and monthly utilisation and maintenance reports.
• Promote compliance with HSEQ standards and company procedures.

Required profile

• Minimum Grade 12 (Matric); National Diploma or related certificate advantageous.
• Valid Code 8 (EB) driver’s licence.
• 2–3 years of experience in fleet administration, coordination or transport operations within construction, mining or heavy‑industry environments.
• Willingness to work overtime and travel to project sites when required.

Required skills

• Proficiency in Microsoft Excel and Outlook.
• Computer literacy with MS Office.
• Experience with fleet management systems or GPS vehicle tracking systems.
