Virtual Assistant – Tutoring Operations Coordinator

About the role

The Virtual Assistant – Tutoring Operations Coordinator will support Tutor Jackets’ internal operations and coordinate tutor‑student interactions. Working remotely, you will manage scheduling, invoicing, and communication tools to ensure smooth tutoring programs.

Key responsibilities

• Coordinate tutor‑student scheduling, handle cancellations, rescheduling, and arrange substitute tutors.
• Manage calendars, set up accounts and systems, and maintain tutor availability data.
• Process monthly session renewals and prepare basic invoices.
• Document internal SOPs and assist with ongoing project management tasks.
• Participate in client communication via group chats and track tasks across tutoring programs.

Required profile

• Minimum 2 years experience in virtual assistance, customer support, or academic coordination.
• Strong written English communication skills.
• Proven ability to manage multiple tasks with high attention to detail.
• Reliable internet connection and a quiet work environment.

Required skills

• Google Workspace (Docs, Sheets, Calendar).
• Google Voice (or similar telephony tools).
• Project‑management platforms such as Notion or Trello.
• Basic invoicing or accounting tool experience (optional).
