Healthcare Compliance Coordinator (Remote)

About the role

ISTA Personnel Solutions, a BPO company based in South Africa, is recruiting a Healthcare Compliance Coordinator to support a U.S.-based client providing ABA therapy services (BCBAs and RBTs). The role is fully remote and must be performed from South Africa. It is primarily staff-facing: the coordinator follows up with RBTs to ensure session notes are submitted and verified on time, in a friendly and supportive way.

Key responsibilities

• Run daily reports on the Rethink platform to find unsubmitted or unverified session notes from the previous day.
• Follow up with RBTs by email, phone and text to remind and help them complete their documentation.
• Use existing email templates to keep communication consistent.
• Identify technical issues or barriers to submission and escalate them to the supervisor when needed.
• Maintain accurate records of all follow-up communications and outcomes.
• Build positive, supportive relationships with field staff and collaborate with the team to resolve recurring issues and improve the submission process.

Required profile

• Strong verbal and written English, able to give clear, empathetic reminders and instructions.
• Strong organisational skills to manage a high volume of daily follow-ups.
• Problem-solving skills and an approachable, friendly demeanour.
• Ability to maintain confidentiality and handle sensitive information (HIPAA).
• Fixed fibre internet (minimum 25 Mbps upload and download) with wired Ethernet capability, and a reliable power backup for load shedding.
• Work hours Monday to Friday, 3:00 PM to midnight SAST (subject to daylight saving); work on all South African public holidays.

Required skills

• Familiarity with ABA practices and the role of RBTs is highly advantageous.
• Proficiency with electronic health record systems; experience with the Rethink platform is a plus.
• Understanding of ABA terminology and why session notes matter for client progress is beneficial.
• Experience in a compliance or quality assurance role in healthcare is beneficial.
