Buying Administrator

About the role

The Buying Administrator will support the Buying Manager in sourcing, purchasing, and managing stock for the company and its clients. You will own day‑to‑day buying operations, ensuring timely collection, delivery, and accurate documentation of goods.

Key responsibilities

• Prepare and process purchase orders from approved quotations and requisitions.
• Monitor purchase orders, confirm supplier delivery dates, and ensure on‑time receipt.
• Arrange daily collections or deliveries to stores and coordinate with logistics.
• Maintain accurate procurement documentation for accounts processing.
• Source materials and services, negotiate pricing, quality, delivery and payment terms.
• Issue RFIs, RFQs and RFTs, analyse quotations and recommend purchases.
• Maintain supplier relationships, ensure BBBEE compliance and conduct supplier audits.
• Provide administrative procurement support to projects and operational departments.

Required profile

• Grade 12 and NQF Level 6 Diploma.
• Minimum 3 years experience in imports/exports or similar procurement environment.
• Strong communication, conflict management, problem‑solving and time‑management abilities.
• Self‑motivated, results‑driven, accurate, approachable and able to work under pressure.

Required skills

• Intermediate MS Office – Word, Excel, PowerPoint.
• Proficiency with SAP and CRM systems.
• Knowledge of logistics policies, freight Incoterms and tender processes.
• Understanding of NDT, health & safety, stock control and letter of credit procedures.
• Negotiation and supplier audit capabilities.
