Admin Clerk – Transport Operations

About the role

The Admin Clerk will support the Transport Manager in Cape Town, handling a range of administrative and financial tasks that keep the transport function running smoothly. This role involves reporting, invoice processing, purchase order management, and stakeholder communication.

Key responsibilities

• Prepare monthly reports, claims reports, POD submissions and payment summaries.
• Process transport invoices and create purchase orders using COUPA and SAP.
• Monitor and close open purchase orders through weekly ageing analysis.
• Engage with depots and transporters on stock write‑offs, claim queries and outstanding payments.
• Reconcile balance‑sheet accounts for claims across 40 depots and investigate open shipments.
• Audit and verify BBBEE documentation for all transport vendors.
• Maintain contractual and control documentation and support ad‑hoc administrative requests.
• Communicate with internal and external stakeholders to resolve documentation, claim and payment issues.

Required profile

• Grade 12 or equivalent; a diploma or degree in administration, finance or related field is an advantage.
• Minimum 3 years of experience in an administrative or financial environment.
• Strong business acumen, analytical ability and problem‑solving skills.
• High energy, self‑starter attitude and ability to work under pressure.
• Excellent interpersonal and communication skills.

Required skills

• Proficiency with SAP.
• Proficiency with Microsoft Office.
• Experience using COUPA for purchase order creation.
