Finance and Operations Coordinator

About the role

A prestigious international brand in luxury building finishes is looking for an energetic Finance and Operations Coordinator to act as the operational glue of its showroom and factory. This is a permanent, full-time, in-office role (Monday to Friday, 09:00-17:00 with some flexibility) reporting to the Directors and supporting the in-house Accountant. The post covers cash flow visibility, payment runs, international import coordination, quotation and order tracking, inventory control and ERP transition.

Key responsibilities

• Cash flow and accounting support: work with the in-house Accountant to capture invoices, allocate costs and keep audit trails complete
• Manage daily cash flow and prepare payment runs for local creditors and international suppliers
• Own invoicing accuracy, supplier reconciliations and follow-up on overdue accounts
• Provide Directors with weekly cash flow snapshots and flag urgent exceptions
• Prepare and track quotations and proposals with version control, and track orders from deposit through to delivery
• Place and track international orders, manage lead times and shipping follow-ups, and reconcile deliveries and stock levels
• Maintain current accounts in Sage while leading the transition to Odoo (ERP)
• Keep dashboards showing what is ordered, what is late and what needs escalation, and manage task lists and open items across teams

Required profile

• Proven proficiency in Sage (non-negotiable) and a high level of comfort with Excel (tables, filters, reconciliations)
• Minimum 7 years' experience in finance, bookkeeping, cash flow tracking and debtor/creditor control; Trial Balance experience is a bonus
• Highly organised, accountable professional with a zero-error mindset in a fast-paced environment
• Strong written and verbal skills for supplier follow-ups and sales support
• Willingness to learn and master Odoo as the business transitions its workflows
• Advantageous: background in high-end interiors or building products, experience with imported goods and shipping documentation, or prior experience with Odoo, SAP or similar systems
