Debtors Administrator / Debiteure Administrateur (AN 112)

About the role

The Debtors Administrator will manage all aspects of tenant leasing documentation and rent collection for a portfolio of student accommodation properties. This full‑time position supports the property team in ensuring accurate accounting, timely invoicing, and excellent tenant service.

Key responsibilities

• Maintain and file all tenant leasing documents, including lease agreements, consent forms, deposit proofs and inspection reports.
• Enter lease data into the MDA accounting system and keep records up‑to‑date.
• Prepare a monthly leasing schedule, verify occupancy against biometric access data and prepaid electricity purchases.
• Run a rent roll by the 21st of each month, generate and email rental statements by the 25th.
• Upload receipts to the accounting system and allocate them to the correct tenant.
• Monitor rental payments to keep debtor ageing at a minimum.
• Respond to tenant queries regarding rent, Wi‑Fi, electricity and maintenance.
• Enforce house rules, issue vacate notes and manage disciplinary procedures when required.
• Invoice and collect charges for maintenance, vandalism, lost keys, Wi‑Fi, etc., and process deposit refunds on lease termination.

Required profile

• Experience with lease administration and accounts‑receivable processes.
• Familiarity with the MDA accounting software or similar property accounting systems.
• Strong attention to detail and ability to manage large volumes of documentation.
• Good communication skills for handling tenant enquiries and coordinating with internal teams.
