CRM Implementation & Automation Specialist

About the role

Averaging 20 hours per week, this remote contract position supports hands-on CRM administration, third-party system integrations and multi-step workflow automations. It works behind the scenes in an independent capacity, assisting with execution while senior leadership retains oversight and direct client communication. The role focuses on two main areas: executing an internal Zapier to Make migration and delivering client-specific CRM project requests.

Key responsibilities

• Zapier to Make migration: take over and execute the daily hands-on migration of existing workflows from Zapier to Make.
• CRM building and configuration: turn scoping specifications into fully configured Pipedrive environments, including pipelines, fields, permissions and native integrations.
• Automation scenario building: build, test and maintain complex multi-step automation scenarios and webhooks with Make and Zapier.
• Third-party tool integrations: set up and test tools such as WATI (WhatsApp platform), PandaDoc (document generation), form automation tools and webhooks.
• Quality assurance and troubleshooting: run pre- and post-go-live testing on CRM setups and debug broken integration flows, API webhooks, workflow failures and data sync errors.
• First-line support: act as the primary contact for client support tickets, delegate them internally and provide process oversight.
• Post-implementation check-ins: carry out 7-day, 14-day and 21-day check-ins with clients to track adoption and resolve issues.
• Team continuity: keep automation deliverables and implementation continuity during team leave.

Required profile

• 2+ years of experience configuring Pipedrive (or similar CRMs) at an administrative level.
• Ability to follow documented standards and execute technical tasks from a written brief.
• Experience configuring third-party integrations such as WATI, PandaDoc, form builders and webhooks.
• Proven ability to independently debug integration flows, API webhooks, field mapping errors and data synchronisation issues.
