Project Administrator

About the role

Altron Digital Business is seeking an organised, people‑focused Project Administrator to coordinate a large‑scale PC refresh rollout. You will act as the vital link between end users, field technicians, and the project team, ensuring smooth scheduling and communication.

Key responsibilities

• Schedule and confirm PC refresh appointments with end users via phone, Microsoft Teams and email.
• Manage appointment calendars in line with technician capacity and field team planning.
• Send pre‑appointment communications, including data‑backup and device‑handover instructions.
• Handle rescheduling, cancellations and no‑shows while keeping all stakeholders informed.
• Capture and maintain accurate records in Astea/Service Call, spreadsheets and project trackers.
• Coordinate with the Project Manager, site contacts and field management to resolve scheduling blockers.
• Provide daily/weekly progress updates on appointments booked, completed and outstanding.

Required profile

• Matric certificate or diploma in Administration, Business Management, IT or a related field.
• At least 2 years of experience in customer service, call centre, service desk or scheduling/dispatch.
• High‑volume experience handling phone, email and Teams communications.
• Proven ability to work with ITSM/CRM tools and maintain accurate system records.
• Experience producing reports and consistently meeting SLAs and targets.
