Administrative Assistant – Financial & ERP Support

About the role
The Administrative Assistant supports the On Key Clerk in delivering smooth invoicing, debtor management, ERP administration, and client account processes. This position ensures accurate data handling, document management, and timely follow‑ups within the On Key Software Solutions business unit.
Key responsibilities
- Prepare invoice packs, track deadlines and maintain invoicing records.
- Log and monitor client purchase orders, maintain a PO register and support vendor documentation.
- Assist with debtor follow‑ups, update records and generate debtor reports.
- Enter and maintain data in the Acumatica ERP system, supporting daily administrative tasks.
- Keep client and contact information up‑to‑date across ERP and Helpdesk systems.
- Prepare contract renewal documents, submit to clients and track responses.
- Support quotation preparation, coordinate with Finance, Debtors and GSS teams, and manage digital/physical filing systems.
Required profile
- Matric (Grade 12) qualification or equivalent.
- Certificate or diploma in Office Administration (advantageous).
- At least 1 year of administrative or support experience in a corporate environment.
- Exposure to financial administration processes is a plus.
Required skills
- Acumatica ERP system proficiency.
