Operations Coordinator – Hoedspruit or Remote

About the role

The Operations Coordinator will manage the end‑to‑end coordination of bespoke safari bookings, ensuring every element of the guest journey is accurately planned and communicated. This role supports a luxury travel company that values long‑term commitment, proactive ownership, and a digitally driven environment.

Key responsibilities

• Coordinate guest itineraries and travel logistics, including accommodation, road transfers, flights, activities and guides.
• Work closely with consultants to ensure a smooth handover from sales to operations.
• Liaise with suppliers on confirmations, guest information, timings, special requests and amendments.
• Collect and manage guest data such as passport details, dietary requirements and rooming information.
• Handle guest‑facing operational communications, including invoices, payment receipts and pre‑travel information.
• Assist with last‑minute changes, cancellations, delays and operational issues, finding appropriate solutions.
• Maintain accurate booking records, operational deadlines, calendars, internal trackers and shared documentation.
• Utilise Google Drive, Google Workspace, Slack, Asana, Tourplan, Safari Portal and AI tools to improve workflow efficiency.

Required profile

• Considerable previous experience within a tour operator, DMC or similar travel operations environment.
• Strong computer literacy and proficiency in Google Drive and Google Workspace.
• Excellent written and verbal communication in professional English.
• Exceptional attention to detail and ability to manage multiple guest itineraries.
