AIA Billing & Construction Project Coordinator

About the role

We are seeking a highly organized AIA Billing & Construction Project Coordinator to support the execution of commercial construction projects. This full‑time remote position works on U.S. business hours and focuses on contract administration, bonding, billing, and project documentation.

Key responsibilities

• Review and manage commercial construction contracts throughout the project lifecycle.
• Coordinate bid bonds, performance bonds, and maintenance bonds, preparing and submitting all required documentation.
• Prepare and submit AIA billing packages, maintain Schedule of Values (SOV), and track retainage and payment milestones.
• Maintain project records in Buildertrend, tracking schedules, receipts, milestones, and progress updates.
• Ensure data integrity in CRM and project management systems.
• Coordinate with clients, contractors, vendors, and stakeholders, supporting pre‑construction and pre‑sales activities.
• Organize permits, contracts, and project documentation and participate in weekly project meetings.

Required profile

• Commercial construction contract experience.
• AIA billing and Schedule of Values (SOV) experience.
• Knowledge of bid bonds, performance bonds, and maintenance bonds.
• Strong Excel and Microsoft Office skills.
• Excellent communication and organizational abilities.
