Theatre Administrator

About the role

A vacancy exists for a Theatre Administrator at Life Empangeni Private Hospital, reporting to the Theatre Unit Manager. The role manages and coordinates accurate preference cards to support a quality and efficient e-billing system, provides administrative support and works with internal and external stakeholders. It is open until 31 October 2026.

Key responsibilities

• Manage surgical and anesthetic preference cards and templates, editing, updating or creating them and obtaining sign-off from relevant persons
• Load preference cards for theatre cases into the system for the next day's theatre lists and for emergency cases
• Monitor the Impilo dashboard and act on errors; capture manual billing on Impilo (stock and equipment)
• Capture procedures and items for the electronic theatre register and case management
• Act as a super user, helping with multi-touch screen issues and troubleshooting
• Assist with consignment stock and loan set coordination, cycle counts and monthly stock takes to meet hospital variance targets
• Manage stock variance reports with the unit manager and stock controller
• Communicate with case management and capture procedures

Required profile

• Matric certificate
• Matriculation certificate
• Experience in billing or stock management is advantageous
• Working experience in a hospital and theatre environment is advantageous

• Strong administration skills, computer proficiency and attention to detail
• Effective communication, organisational and leadership skills, including problem-solving and conflict resolution
• Ability to work within a multidisciplinary team
