Sales Coordinator

About the role

Our client in Johannesburg is looking for an experienced Sales Coordinator to support the sales team and ensure smooth order‑to‑delivery processes. The role involves managing stock, handling documentation, and providing administrative assistance to the National Sales Manager.

Key responsibilities

• Order and receive stock using the IFS system and update inventory records.
• Maintain stock lists for locations, dealers and demo units, and allocate stock to Sales Executives.
• Capture OEM reports, arrival reports and maintenance documentation in IFS.
• Process insurance claims for machine damage and invoice stock to financial houses and cash customers.
• Open sales quotes, generate pro‑forma invoices and ensure all hand‑over documentation is attached.
• Prepare month‑end and YTD reporting for South Africa and Korea, and calculate Sales Executive commissions.
• Handle monthly reclamation invoicing, population registers and provision allocations.
• Arrange transport, raise purchase orders and verify documentation before equipment leaves premises.
• Support dealer and finance house requirements, manage travel bookings and order uniforms and business cards.

Required profile

• Proven experience in sales coordination or a similar administrative role within a sales environment.
• Strong attention to detail and ability to manage multiple documentation streams.
• Excellent organisational skills and ability to work under tight deadlines.

Required skills

• Proficiency with the IFS enterprise resource planning system.
