Reservationist

About the role

The Reservationist will manage all guest bookings for a luxury game lodge in Polokwane, ensuring a smooth experience from the first enquiry to arrival. This full‑time, on‑site role combines customer service excellence with meticulous reservation administration to maximise occupancy and support memorable safari experiences.

Key responsibilities

• Handle reservations received via phone, email, website, travel agents and online platforms.
• Process new bookings, amendments, cancellations and special requests accurately.
• Maintain guest profiles, room allocations and availability in the Property Management System.
• Prepare daily arrival, departure and occupancy reports and communicate details to operational teams.
• Respond promptly to guest enquiries, providing information on accommodation, rates, game drives and lodge facilities.
• Coordinate itineraries, transfers, dietary needs, celebrations and VIP requirements.
• Issue confirmations, invoices, quotations and manage deposits, payments and refunds.
• Liaise with Front Office, Housekeeping, Kitchen, Guides and Maintenance to ensure seamless service delivery.
• Promote accommodation packages and additional lodge services to support revenue targets.

Required profile

• Strong customer‑service orientation with excellent communication skills.
• Attention to detail and ability to manage multiple bookings simultaneously.
• Organised and able to work under pressure, including weekends and public holidays.
• Experience in hospitality or tourism reservations is preferred.

Required skills

• Proficiency with a Property Management System (PMS) for reservation handling.
• Basic computer literacy, including email and office applications.
