Quotes Administrator (Medical Device)

About the role

The company is seeking an experienced Quotes Administrator to manage RFQ and quotation processes within the medical‑device sector. The role involves handling incoming quote requests, preparing accurate proposals, and supporting tender activities while ensuring high‑quality documentation.

Key responsibilities

• Receive and log RFQs/quote requests.
• Prepare quotes using standard company information and flag unusual items for the supervisor.
• Source item codes from managers or specialists when not provided.
• Maintain an organized filing system for both hard‑copy and electronic quotes.
• Provide general secretarial support and assist with tender preparation as needed.
• Screen telephone calls, take accurate messages, and direct callers appropriately.
• Improve the appearance and content quality of all quotes.
• Assist with vendor registration forms (e.g., SBD) when required.
• Perform other administrative tasks related to the position.

Required profile

• Minimum Grade 12 qualification.
• Previous experience in a medical‑related industry and in a quotes or sales department.
• Proven ability to work under pressure, meet deadlines, and maintain attention to detail.
• Strong communication skills in English and the ability to interact with staff at all levels.

Required skills

• Syspro or similar ERP system.
• Advanced proficiency in Microsoft Excel.
• Competence with Microsoft Word, Outlook, and Adobe Acrobat.
• General computer literacy and MS Office proficiency.
