Project Operations Manager (80-100%)

About the role

Webrepublic, a Swiss marketing agency with a growing international presence, is expanding its Cape Town office and is looking for a Project Operations Manager (80-100%). Working alongside the project delivery team, you will keep client projects running smoothly: setting them up correctly, keeping project data accurate, processing invoices on time and spotting potential deviations early. The role suits someone who enjoys working with data and systems, has a strong eye for detail and likes bringing structure to several projects at once.

Key responsibilities

• Set up and maintain client projects in the project management system BCS, with accurate and complete project data.
• Manage the project lifecycle from initial setup and quotation structure through invoicing to final project closure.
• Prepare and process invoices, including corrections, credit notes and cancellations, and support payment monitoring and dunning.
• Monitor standard project KPIs and timelines, identify deviations and flag them early to stakeholders.
• Maintain high data quality, ensuring project information, costs and efforts are correctly structured, categorised and processed.
• Coordinate project information with colleagues in Project Management, Accounting and Controlling and act as the point of contact for day-to-day project operations questions.

Required profile

• Sound understanding of professional project management, gained through practical experience, PMO work, training or education, and experience organising project work with digital tools.
• Experience in commercial administration and invoicing, including quotations, orders, invoices and basic billing concepts such as net, gross and VAT.
• Understanding of the project lifecycle and project performance monitoring, with the ability to spot and flag deviations from plans, processes or KPI thresholds.
• Attention to detail, structured and accurate way of working, and ability to handle multiple projects and tasks in parallel.
• Analytical, service-oriented and quick learner, comfortable in a fully digital environment.
