Operations Coordinator

About the role

Drop Zero Digital is a small, founder‑led lifecycle email marketing agency that works with ecommerce brands on Klaviyo. We are looking for a full‑time remote Operations Coordinator to support the founder, scale hiring, and own the internal operational infrastructure.

Key responsibilities

• Manage the hiring pipeline: coordinate interviews, maintain ATS hygiene, and support candidate communication.
• Act as executive assistant: triage inbox, manage calendar, prepare documents, and send follow‑up reminders.
• Develop and maintain SOPs, process documentation, and internal knowledge bases in Notion and Google Drive.
• Provide cross‑cover for project managers, ensuring smooth handoffs and internal communication.
• Track daily activities, complete end‑of‑day reflections, and log time using Hubstaff.

Required profile

• Accountable and deadline‑driven, able to own process gaps and close loops independently.
• Excellent written communication in business English; thrives in an async‑first environment.
• Positive, growth‑oriented attitude with a willingness to ask questions and learn quickly.
• Strong organizational judgment under ambiguity, capable of juggling multiple threads.
• Committed to a 2+‑year career at the company, full‑time without side‑hustles.
