About the role
The Facilities Assistant will support the day‑to‑day operation of our offices across multiple locations, ensuring a safe, efficient and well‑maintained workplace. Working within the Shared Services group, you will coordinate maintenance, vendor activities and workplace services to keep the environment functional for all staff.
Key responsibilities
- Manage Zendesk helpdesk job cards in partnership with the Facilities Manager.
- Review reported issues for accuracy before assigning contractors.
- Liaise with full‑time and ad‑hoc contractors, arrange site access and oversee work quality.
- Monitor progress of maintenance and repair tasks to meet required standards.
- Utilise the SmartSM Procurement System for sourcing, supplier inquiries, quotation review and purchase order processing.
- Maintain contractor performance records on SharePoint and assist with health & safety documentation.
- Support stationery distribution and keep accurate tracking records.
Required profile
- Proactive, detail‑oriented and able to work independently.
- Strong organisational skills with the ability to manage multiple locations.
- Effective communication with internal stakeholders, contractors and vendors.
Required skills
- Experience with Zendesk helpdesk platform.
- Familiarity with SmartSM Procurement System.
- Knowledge of SharePoint for document management.
