About the role
Outsourcing Advantage is seeking a reliable Executive Assistant to support the management team of an architectural firm. The role focuses on handling email correspondence, tracking project tickets, and ensuring daily tasks are completed efficiently.
Key responsibilities
- Manage and organize the manager’s inbox to guarantee timely responses and prevent missed communications.
- Track project tickets and daily tasks, following up until completion.
- Maintain task‑management systems and monitor deadlines.
- Coordinate follow‑ups with internal team members, vendors, and clients.
- Keep project communications organized and up to date.
- Support scheduling, reminders, and general administrative assistance.
- Ensure tasks are completed on time and properly documented.
Required profile
- Minimum 3 years experience as an executive assistant or in an administrative support role with responsibility for task and email management.
- Strong written and spoken English.
- Professional experience communicating with external clients or vendors.
- Located in the Philippines, Colombia, South Africa, Mexico, Dominican Republic, or Egypt and available to work during Eastern Time business hours.
- Ability to provide a brief voice note introducing yourself in English.
- Willingness to share details of work equipment, power setup, and internet backup.
