Project Coordinator

About the role

Projex is looking for a highly organized Project Coordinator to keep day‑to‑day project operations running smoothly. You will support order management, invoicing, RFP coordination, warranty administration and overall project support while collaborating with internal teams, clients, vendors and installers. This fully remote position requires you to work during Eastern Standard Time business hours.

Key responsibilities

• Manage order placement, track orders and provide timely updates to teams and clients.
• Coordinate invoicing, billing and monitor receivables, retention and project‑related financial tracking.
• Maintain accurate project documentation, records and General Contractor pre‑qualification processes.
• Review incoming RFPs, initiate scope review, pricing and assist Project Managers with hand‑off.
• Organise proposal documentation and follow‑up administrative tasks.
• Schedule service and warranty activities, submit warranty claims and order replacement parts.
• Support internal project management workflows and operational processes.

Required profile

• Previous experience in project coordination, operations, construction administration or a related field.
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Ability to manage deadlines, prioritize tasks and work independently in a remote setting.
• Reliable internet connection and a professional remote work setup.

Required skills

• Proficiency with Microsoft Office.
• Proficiency with Google Workspace.
• Experience using project management tools.
