Operations and Administration Manager

About the role

We are looking for a senior, hands‑on Operations and Administration Manager to ensure the smooth day‑to‑day running of Wiid Design. You will support the Director across front‑office, financial‑administration and operational functions while coordinating clients, projects, production and business development.

Key responsibilities

• Oversee daily studio operations and administration, including purchasing, stock, and facility maintenance.
• Provide executive and PA support to the Director: diary management, meeting coordination, travel arrangements and correspondence.
• Maintain project documentation, filing systems and costing information, both paper and electronic.
• Coordinate building services such as internet, telecom, fire compliance, security, ventilation and other infrastructure.
• Manage client enquiries, quotations, orders, and follow‑ups; coordinate projects between clients, design and production teams.
• Monitor production schedules, deadlines and deliveries, liaising with suppliers and logistics partners.
• Assist with invoicing, payments and financial administration using SAGE Online, including supplier and customer invoice processing and bank statement reconciliation.
• Support special projects, company events and any additional duties required by the Director.

Required profile

• Senior professional with proven experience in operations, administration and executive support.
• Strong organisational skills and ability to manage multiple priorities without constant supervision.
• Excellent communication skills for interacting with clients, suppliers and internal teams.
• Detail‑oriented and proactive in identifying and resolving issues early.
