Executive Assistant – Remote, Part‑time (Real Estate)

About the role
We are a fast‑growing commercial real‑estate development and brokerage firm seeking a proactive Executive Assistant to support senior leadership. This part‑time, fully remote position will help streamline operations across multiple high‑growth projects in Tampa and the Southeast U.S., with the potential to become full‑time as project demands increase.
Key responsibilities
- Manage executive calendars, schedule meetings, protect focus blocks, and coordinate travel logistics.
- Prepare meeting agendas, take detailed notes, track action items, and draft follow‑up communications.
- Organize project data such as parcel IDs, property addresses, deal trackers, contacts, and deadlines.
- Create and maintain presentation decks and other administrative documents.
- Support client‑facing communications, outreach, and cold‑calling efforts, eventually owning selected meetings.
Required profile
- 5+ years of executive‑assistant experience supporting senior leaders in fast‑paced environments.
- Background in commercial real‑estate, development, brokerage, or transaction settings.
- Excellent verbal and written English communication skills.
- Strong independent work ethic, high attention to detail, and ability to remain calm under pressure.
Required skills
- Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Google Workspace
- Communication platforms (Microsoft Teams, Zoom, phone)
- CRM tools – HubSpot preferred
- AI tools – familiarity with ChatGPT, Claude, Gemini or similar
