Events Co‑ordinator – Boutique Wine Estate & Hospitality

About the role

Our client, a boutique winery in the heart of the Stellenbosch winelands, is looking for an experienced, hands‑on Events Co‑ordinator to join the hospitality team. Reporting to the Events Manager, you will be responsible for delivering high‑end weddings, corporate functions, conferences and bespoke celebrations.

Key responsibilities

• End‑to‑end coordination and flawless execution of weddings, corporate events, conferences and private boutique functions.
• Comprehensive administrative management, including timelines, run sheets and client correspondence.
• Proactive supplier liaison, negotiation and relationship management.
• Rigorous stock control, inventory management and asset care for event infrastructure and equipment.
• On‑the‑ground staff management, rostering and supervision during functions to ensure service excellence.
• Seamless cross‑departmental collaboration with the broader winery and hospitality teams.

Required profile

• Relevant tertiary qualification in Events Management or a related discipline.
• Extensive experience in event coordination, preferably within luxury hospitality, wine estates or boutique venues.
• Proven track record managing weddings and corporate functions from inception to completion.
• Demonstrated experience in stock control, supplier liaison and event‑day staff management.
• Exceptional organisational, communication and problem‑solving abilities under pressure.
• Resilient, adaptable and willing to work flexible hours, including weekends and evenings.
• Valid driver’s licence and reliable transport; residence within the Winelands or surrounding Stellenbosch/Paarl regions.
