Import & Documentation Executive (Supply Chain / Commercial)

About the role

The Import & Documentation Executive will oversee all import, customs and commercial documentation processes, ensuring timely clearance and regulatory compliance for a consumer‑goods distribution business. The role acts as a bridge between freight forwarders, customs agents, procurement, warehouse and finance teams to guarantee smooth end‑to‑end supply‑chain operations.

Key responsibilities

• Prepare, review and submit import documentation (Bill of Lading, Commercial Invoice, Packing List, Certificate of Origin, import permits, customs declarations) and coordinate with freight forwarders and customs agents.
• Track shipments from origin to warehouse, provide status updates and ensure all duties, taxes and related charges are competitive.
• Maintain shipment and logistics records in ERP systems, support inventory planning and ensure correct documentation for warehouse receiving.
• Prepare and verify commercial documents (sales invoices, delivery notes, pro‑forma invoices, LC documentation) for distributors, retailers and export customers.
• Ensure compliance with South African customs regulations, maintain audit‑ready archives and contribute to KPI reporting and process‑improvement initiatives.

Required profile

• Bachelor’s degree in Supply Chain, Logistics, Business or a related field.
• 2–5 years of experience handling import, logistics or documentation in a consumer‑goods environment.
• Strong knowledge of South African import/export regulations and customs procedures.
• High attention to detail, ability to manage multiple shipments and meet tight deadlines.

• Advanced Microsoft Excel skills.
