About the role
This fully remote senior position provides dedicated executive support to the Managing Director of an international executive search firm. The role demands strong organisation, prioritisation, and operational follow‑through across a fast‑paced, global schedule.
Key responsibilities
- Manage the MD's calendar, schedule and daily priorities.
- Track commitments, decisions and action items to ensure consistent follow‑through.
- Prepare agendas, briefing documents and meeting notes with clear action tracking.
- Handle correspondence and stakeholder communication on behalf of the MD with discretion.
- Plan, coordinate and run meetings, including preparation, facilitation and post‑meeting follow‑up.
- Coordinate research initiatives and team projects, ensuring clear briefs and timely delivery.
- Delegate tasks across internal teams, maintaining accountability.
- Liaise with cross‑functional workstreams to keep them aligned.
- Maintain confidential records, contracts and documentation.
- Anticipate requirements and proactively resolve issues.
Required profile
- Substantial experience supporting an MD or C‑suite, preferably in professional services, consulting or executive search.
- Proven ability to manage complex, high‑variability schedules and competing priorities.
- Experience coordinating teams, projects and research workstreams.
- Confident chairing or facilitating meetings and driving outcomes.
- Strong written and verbal communication to a professional‑services standard.
- Highly organised with reliable follow‑through and attention to detail.
- Sound independent judgement in prioritisation and escalation.
- Absolute discretion with confidential information.
- Comfortable working across international time zones with schedule flexibility.
- Self‑directed and effective working remotely.
