About the role
The Document Controller is responsible for managing, organizing, controlling, and maintaining all project‑related documentation for the Head Office Project Management Office. The role ensures that project documents are accurately received, recorded, filed, distributed, tracked, updated, and archived in line with company procedures, contractual obligations, and quality standards.
Key responsibilities
- Receive, register, file, track and maintain all project documentation.
- Ensure documents are correctly named, numbered, dated, version‑controlled and filed.
- Maintain an accurate document register for each project and store documents in the correct folders for easy retrieval.
- Control the flow of documentation between Head Office, project teams, clients, consultants, subcontractors, suppliers and internal departments.
- Remove or clearly mark outdated or superseded documents.
- Provide document control and administrative support to the Contracts Manager, including records of contracts, correspondence, formal notices, approvals, claims, variations and payment certificates.
- Assist with preparing contract administration packs and tracking contractual deadlines, notifications, claims and audits.
- Support the Project Management Office and assist Project Managers, Construction Managers, Quantity Surveyors, Commercial and Procurement teams with document‑related requirements.
