Workshop and Spares Administrator

About the role

Freddy Hirsch Group is looking for a highly organised Workshop and Spares Administrator to support its workshop teams across Cape Town and other branches. The role combines administrative, logistical and customer‑service duties to ensure smooth workshop operations.

Key responsibilities

• Receive and log customer breakdown calls and create technician job cards.
• Allocate, transfer and track spare parts for each job card.
• Coordinate stock requests, internal transfers and monitor stock availability for workshop jobs.
• Process parts issuance, returns, quotations, invoices, credit notes and supplier purchase orders.
• Handle job‑card, invoicing and credit‑note queries and follow up on purchase orders and documentation.
• Maintain technician attendance, overtime and time records in the time‑management system.
• Prepare labour recovery reports and submit broker timesheets.
• Provide general administrative support to the Workshop Department.

Required profile

• Grade 12 (Matric) qualification; tertiary qualification in Business Administration is an advantage.
• Previous administrative experience in a workshop, service or technical environment is desirable.
• Excellent organisational, time‑management and communication skills.
• Ability to work under pressure, prioritize multiple tasks and meet deadlines.

Required skills

• Proficiency in Microsoft Office.
• Experience using ERP systems.
