Sales Administrator / Customer Services (Cape Town)

About the role

The Sales Administrator / Customer Services role supports Key Account customers by managing order processing, returns, and account administration. Based in Constantia, Cape Town, you will act as the primary liaison between customers and internal teams to ensure smooth fulfilment and high service standards.

Key responsibilities

• Process sales orders from Key Account customers accurately and timely, coordinating with Operations and Logistics for picking, packing and dispatch.
• Monitor delivery progress, resolve issues with couriers or internal teams, and maintain proactive communication with customers.
• Serve as the first point of contact for order enquiries, returns and procurement queries, providing professional updates to stakeholders.
• Handle stock returns, work with Finance to reconcile credits and discrepancies, and ensure compliance with return policies.
• Maintain up‑to‑date customer account information, including onboarding documents and website content.
• Provide sales reporting and feedback to the Sales Manager, highlighting order flow, risks and opportunities.
• Manage the Customer Service inbox, ensuring timely and professional responses.
• Collaborate on cross‑functional projects such as product launches and operational initiatives involving Key Accounts.

Required profile

• 3–5 years experience in an administration role, preferably within retail sales administration.
• Proven experience working on portals and handling key account processes.
• Strong organisational skills and ability to liaise with finance, operations and logistics teams.
