Property Revenue & Lease Administrator (Retail Property Portfolio)

About the role

Southern Fort, a property investment and management company, is seeking a Property Revenue & Lease Administrator to manage tenant billing, lease administration, credit control and bookkeeping for its retail commercial portfolio. The role works closely with Property Management and Finance teams to ensure accurate revenue management and timely collections.

Key responsibilities

• Maintain lease information, tenant records and critical dates in the MDA property management system; ensure compliance with FICA and POPIA.
• Process lease renewals, rental escalations (CPI, fixed) and turnover rental calculations; keep the rental roll up‑to‑date.
• Generate monthly tenant invoices covering rent, utilities, maintenance recoveries and installation amortisation; verify municipal recoveries and reconcile PEC values.
• Record and allocate tenant receipts, manage deposits and issue statements; respond promptly to billing queries.
• Monitor arrears, prepare age analyses, issue demand letters and negotiate payment arrangements while maintaining positive tenant relationships.
• Perform bookkeeping to trial balance for multiple entities, reconcile accounts and investigate discrepancies; produce arrears and financial reports for management.
• Collaborate with Property Management and internal stakeholders to resolve billing matters and ensure policy compliance.

Required profile

• Experience in lease administration and tenant billing within a retail/property environment.
• Knowledge of South African compliance requirements (FICA, POPIA).
• Strong attention to detail and ability to manage multiple entities and large data sets.
