Project Administrator – Cities, Towns & Infrastructure

About the role

We are looking for a Project Administrator to support our Cities practice in Cape Town. The role provides responsive, accurate and tech‑enabled administration for projects and programmes, working closely with Programme Administrators, Managers and Project Leads.

Key responsibilities

• Maintain project trackers, records, action logs and workflow systems, ensuring they are up‑to‑date.
• Own the governance and document‑management system, handling naming, filing, version control and accessibility.
• Manage internal approvals, signature status and client approvals, following up proactively with team members.
• Schedule project meetings, prepare agendas and packs, take minutes and track follow‑up actions.
• Handle month‑end close, project reconciliation and invoicing, consolidating timesheets, expenses and supplier invoices.
• Update project finance data in company systems, flagging gaps or inconsistencies.
• Administer contract and compliance records, including due‑diligence and sub‑consultant information.
• Prepare and quality‑check administrative components of reports and proposals.

Required profile

• Highly organised with strong attention to detail.
• Commercially curious and comfortable working with numbers and systems.
• Excellent written and verbal communication in a fast‑moving consulting environment.
• Proactive ownership of administrative outputs and ability to meet deadlines.
