Physical Asset Management Administrator

About the role

Bidvest Facilities Management, a provider of integrated facilities management solutions in South Africa, is hiring a Physical Asset Management Administrator for its BFM Operations 1 division in Johannesburg. This is a permanent, full-time entry-level corporate position focused on keeping asset registers, work orders and client documentation up to date and driving accountability across the division.

Key responsibilities

• Maintain and update trackers for asset registers, business cases, remedial engineering works, client documentation requests, console activities and work order backlogs
• Track console data uploads and service gaps, escalating incomplete details to Physical Asset Managers or Planners
• Maintain action registers and follow up on overdue items until closure
• Monitor outstanding work-order backlogs and help technical teams close tickets on time
• Update execution, completion, backlog and failure-trend trackers to highlight recurring gaps
• Coordinate client documentation requests and give stakeholders progress visibility
• Turn operational data into PowerPoint presentations, executive reports and performance dashboards
• Provide general administrative, secretarial and logistical support to the team

Required profile

• Matric certificate (Grade 12) or equivalent; business administration certification preferred
• At least 2 years of proven administrative or operational support experience
• Valid driver's licence (essential)
• Organised, detail-oriented and proactive, able to work under tight timelines

Required skills

• Practical experience with MS Office (Word, Excel, PowerPoint, Outlook) is highly advantageous
• Problem-solving, conflict resolution and multi-stakeholder workflow management
