Personal Assistant to Head of Supply Chain Management

About the role

The Personal Assistant will support the Head of Supply Chain Management by providing comprehensive administrative and secretarial services. This role ensures the office runs smoothly, handling communications, documentation, and coordination of daily activities.

Key responsibilities

• Screen phone calls, enquiries and emails, directing them to the appropriate parties.
• Prepare, process and track memorandums, reports and briefing papers for timely approval.
• Maintain document management systems, both electronic and manual, ensuring confidentiality.
• Arrange travel, meetings, facilities and refreshments, and take minutes when required.
• Create and manage purchase requisitions, monitor budget and ensure timely payment of orders.
• Administer SAP‑related procurement processes and support internal and external correspondence.
• Coordinate submission of reports to higher offices and monitor compliance with administrative changes.

Required profile

• National Diploma in Public Administration, Management, Office Management or a related field.
• At least 3 years of experience as a Personal Assistant or Secretary, with 1 year supporting senior management.
• Strong organisational skills and ability to handle confidential information.

Required skills

• Proficiency in MS Office.
• Experience with SAP (advantageous).
