Operations Coordinator

About the role

An International Travel Company is seeking an Operations Coordinator to manage supplier relations, quality issues, and tour‑group planning for the upcoming season. The role is based in Somerset West and is open only to candidates residing in the Western Cape.

Key responsibilities

• Book all services with local suppliers (hotels, bus companies, restaurants, guides, etc.) before the season starts.
• Prepare group documents, review travel expenses, and file end‑of‑trip paperwork.
• Maintain quality correspondence with the US head office and provide weekly/monthly sales updates to suppliers.
• Arrange airport transfers and special requests for individual passengers.
• Resolve quality issues and manage supplier relationships.
• Participate in an on‑call rotation for after‑hours emergencies (one shift every three weeks).

Required profile

• Minimum 2 years experience in travel & tourism, preferably with an incoming tour operator.
• Fluent written and spoken English (company’s official language).
• Availability to travel up to 15 % of the time and work occasional longer hours.
• Self‑starter able to meet deadlines and make tough decisions.
