Junior Cost of Sales (COS) Clerk

About the role

The Junior Cost of Sales (COS) Clerk accurately processes, vets, and captures high‑volume supplier invoices. The role ensures financial compliance through strict 3‑way matching of Load Confirmations, Proof of Deliveries and Invoices, resolves basic supplier queries and prepares files for month‑end reconciliations.

Key responsibilities

• Adhere to company payment timelines and working‑capital policies to support cash‑flow goals.
• Follow SOPs for data entry, capturing invoices accurately to maintain financial pipeline integrity.
• Process invoices for newly onboarded suppliers according to compliance requirements.
• Communicate daily with suppliers and procurement teams, providing clear status updates and logging disputes.
• Utilise automated workflow tools such as Trackmatic to minimise manual errors.
• Organise and index digital invoice folders; log all Proof of Deliveries chronologically.
• Capture day‑to‑day Cost of Sales invoices against ledger allocations, ensuring vendor numbers, dates and amounts match.
• Perform rigorous 3‑way matching (Load Confirmation, POD, Invoice) to prevent duplicates and flag suspicious data.

Required profile

• Higher National Diploma or Higher Certificate in Accounting, Bookkeeping or Financial Management (minimum).
• Grade 12 with strong mark in Accountancy.
• Clear credit record and clean criminal record.
• 1‑3 years experience in Accounts Payable, clerical or data‑capturing finance roles.
• Advantageous: logistics/transport experience, high‑volume multi‑entity environment, familiarity with ERP systems (NetSuite, SAP, Pastel) and logistics software (Trackmatic).
