Executive & Programme Coordinator

About the role

The Executive & Programme Coordinator provides comprehensive administrative and logistical support to one of PIE's programmatic departments. The role ensures smooth day‑to‑day operations, effective coordination across global time zones, and well‑organised meetings, events, and communications.

Key responsibilities

• Manage the Executive Director’s calendar, correspondence, travel arrangements and provide similar support to 3‑6 Programme Directors.
• Draft, edit and format letters, presentations and internal communications.
• Maintain a tracking system for priorities, deadlines and follow‑up actions on behalf of leadership.
• Organise logistics for in‑person meetings, workshops and events, preparing agendas, materials and briefing notes.
• Take and distribute detailed meeting notes, track action items and ensure timely follow‑up.
• Set up and operate virtual and hybrid meetings across multiple time zones, ensuring accessibility.
• Support invoice processing, reimbursements, vendor payments and contract management in partnership with the Operations team.
• Maintain team calendars, contact lists and knowledge‑management systems, and assist with onboarding new members.

Required profile

• Flexibility to work across global time zones, including occasional outside‑standard‑hour work.
• Willingness to travel for meetings and major events as needed.
• Strong organisational skills to keep the team focused, efficient and well‑coordinated.
