About the role
The Executive Assistant will provide proactive, high‑level secretarial and administrative support to senior executives and department heads. This role ensures smooth office operations, effective diary management, and seamless coordination of meetings and travel.
Key responsibilities
- Manage day‑to‑day administrative tasks for executive offices, including diary management and correspondence.
- Plan, schedule, and coordinate meetings, ensuring invitations, venues, and refreshments are arranged.
- Handle registration and RSVPs for conferences and meetings.
- Organise local and international travel, accommodation, visas, and transport, and process related expense claims.
- Communicate with internal and external stakeholders on behalf of executives.
- Prepare documents, letters, agendas, memos, reports, emails, and take minutes as required.
- Maintain secure and efficient filing systems, both electronic and hard copy.
- Support ad‑hoc projects and additional administrative duties as needed.
Required profile
- National Diploma or Degree in Business Administration, Business Science, Commerce, or related field.
- Minimum 5 years of executive secretarial or office administration experience supporting senior leaders.
- Proven experience in diary management, stakeholder liaison, and travel coordination.
- Strong analytical, organizational, and time‑management abilities.
- High level of discretion, confidentiality, and willingness to work extended hours.
Required skills
- Advanced proficiency in MS Office Suite (PowerPoint, Excel, Word, Outlook).
- Knowledge of SAP Business System (advantageous).
- Valid driver’s licence.
