Executive Assistant – Community & Content Operations

About the role

The client is a fast‑growing women’s media and membership brand seeking a proactive Executive Assistant to support the Founder and keep the operational engine running smoothly. This remote, part‑time position combines inbox management, community moderation, and content‑operations support.

Key responsibilities

• Manage subscriber inboxes, answer questions about accounts, payments and shipping, and act as the professional voice of the magazine.
• Maintain the Founder’s calendar, schedule meetings, and coordinate speaking or podcast invitations.
• Welcome new members to the digital community (The Swish Society) on Skool, guide onboarding and moderate discussions.
• Assist with the publishing calendar, handle guest contributor pitches and perform light proofreading or formatting in Wix.
• Research and track potential brand or bookstore partners, manage outreach and follow‑up on creative assets.
• Organise digital files, spreadsheets and design assets in Google Drive and Canva to ensure nothing falls through the cracks.

Required profile

• Proven experience as a Virtual Assistant, Executive Assistant or Operations Coordinator, preferably in media, publishing or community management.
• Strong English communication skills; the role requires speaking exclusively in English during the shift.
• Ability to work independently, protect the Founder’s time and take ownership of backend processes.
