Customer Operations & Order Management Specialist

About the role

This role manages end‑to‑end customer liaison and order processing for South African and Sub‑Saharan African clients, ensuring accurate handling of customized printed and blank orders while delivering exceptional service.

Key responsibilities

• Provide prompt, professional assistance to customers and sales teams on quotations, enquiries and product queries.
• Receive, validate and process customized printed and blank orders, ensuring accuracy of specifications, quantities and pricing.
• Maintain and update order control and forecasting sheets for both printed and blank orders.
• Communicate order status, progress and any delays to customers and internal stakeholders via phone, WhatsApp and email.
• Liaise continuously with Production, Warehouse, Dispatch and Finance teams to coordinate stock availability, delivery schedules and account approvals.
• Manage customer and internal communications, process VAT documentation and keep accurate records in the EDI system.
• Provide general administrative support to the Sales Department and perform any other related duties as requested.

Required profile

• Minimum 2‑3 years of experience in customer service, sales administration or order processing.
• Matric (Grade 12) with an administrative qualification or equivalent.
• Proven ability to work under pressure in a fast‑paced environment while maintaining high attention to detail.
• Strong organizational, multitasking and problem‑solving skills.
• Experience using Sage 300 and advanced knowledge of Microsoft Office 365.
