ABA Services Coordinator – Remote (EST Hours)

About the role

The ABA Services Coordinator supports a U.S.-based client delivering ABA therapy services. Working remotely on EST hours, the role involves daily communication with Registered Behavior Technicians, families, and clinical teams to ensure accurate documentation, timely follow‑up, and smooth operational processes.

Key responsibilities

• Make regular outbound calls to Registered Behavior Technicians (RBTs) to follow up on outstanding hours and quality‑assurance requirements.
• Maintain accurate and up‑to‑date information across multiple systems and platforms.
• Provide timely, professional and empathetic communication to families, RBTs and other stakeholders.
• Navigate several computer systems efficiently to support daily operational tasks.
• Monitor outstanding items and ensure follow‑up is completed within required timeframes.
• Act as a primary point of contact between RBTs, families and clinical/operational teams.
• Assist with client onboarding, documentation and insurance‑related processes.
• Identify opportunities to improve workflows and enhance the overall client experience.

Required profile

• Previous experience in care coordination, case management, customer service or administrative roles within healthcare or ABA services (preferred).
• Strong verbal and written communication skills, especially over the phone, with a warm and engaging style.
• Excellent organisational and follow‑up abilities, able to manage multiple priorities and deadlines.
• High computer literacy and comfort navigating multiple systems.
• Detail‑oriented, proactive problem‑solver who can learn and follow operational processes efficiently.
• Ability to handle confidential and sensitive information in compliance with HIPAA.
