Project Administrator

About the role

Calibre Life Science is seeking a highly organised and proactive Project Administrator to support the administration and coordination of engineering projects across South Africa. You will work closely with Project Managers and the Project Accountant, providing day‑to‑day administrative and financial support throughout the project lifecycle.

Key responsibilities

• Assist Project Managers and the Project Accountant with daily project administration.
• Load, maintain, and update project budgets and related information.
• Create and manage project documentation, registers, trackers, and filing systems.
• Track budgets, costs, purchase orders, invoices, and expenses.
• Prepare and administer project invoicing and supporting documentation.
• Support financial reporting, cost reviews, and budget analysis.
• Produce weekly and monthly project status and administration reports.
• Monitor outstanding documentation and follow up with internal and external stakeholders.
• Maintain accurate records of contracts, purchase orders, tender documents, and invoices.
• Assist with purchase order administration, change control, resource planning, and project close‑out.

Required profile

• Diploma or relevant qualification in Business Administration, Project Management, or a related field.
• Strong organisational skills with the ability to manage multiple priorities.
• Comfortable handling project and financial information.
• Attention to detail and accuracy in record‑keeping.
