Processing Administrator – Sales & Consignment Operations

About the role

We are seeking a highly organised Processing Administrator to join SA Biomedical Group in Johannesburg. The role focuses on accurate handling of sales orders, quotations, consignment stock and related documentation, ensuring smooth interaction between internal sales teams, hospitals and customers.

Key responsibilities

• Prepare and process customer quotations, meeting turnaround targets.
• Enter direct, cash and consignment sales orders into the ERP system, resolve discrepancies and ensure invoices match approved quotations.
• Communicate back‑orders to customers, Business Managers and Sales Representatives.
• Upload and maintain signed Proofs of Delivery (PODs) within the ERP.
• Review and process credit notes with appropriate approvals and documentation.
• Manage consignment agreements, conduct stock counts, investigate variances and coordinate replacements for expiring stock.
• Process stock adjustments, write‑offs and support branch stock‑take reconciliation.
• Maintain accurate electronic records and document all customer communications.
• Provide prompt, professional responses to customer queries and support the wider team.

Required profile

• Diploma in Business Administration or a related field.
• Minimum two years of administration experience, preferably in logistics or sales support.
• Strong attention to detail and ability to work under tight deadlines.
• Excellent communication skills for interaction with hospitals, customers and internal stakeholders.

Required skills

• Intermediate proficiency with Microsoft Office applications.
• Experience using ERP systems for order and inventory management.
