Legal Intake Specialist (Bilingual Spanish/English)

About the role

Our client, a US‑based criminal defense law firm, is looking for a bilingual Legal Intake Specialist to be the first point of contact for prospective clients. The role is fully remote and focuses on gathering accurate case information, managing client data, and ensuring timely escalation of urgent matters.

Key responsibilities

• Answer incoming calls and respond to urgent client inquiries with professionalism and calm.
• Conduct structured intake interviews for criminal defense matters, capturing detailed case information.
• Enter, update, and manage client data in legal case‑management software such as Filevine or Clio.
• Assess urgency of calls and escalate critical matters appropriately.
• Schedule follow‑ups and maintain consistent communication with prospective and active clients.
• Provide receptionist support, including call routing, message taking, and email responses.
• Ensure all documentation is accurate, complete, and compliant with firm procedures.

Required profile

• Minimum 2 years of experience in legal intake, criminal‑defense case management, or receptionist roles within a US law firm.
• Fluency in both Spanish and English (spoken and written).
• Strong organizational skills and ability to handle multiple calls and tasks simultaneously.
• Empathetic, calm, and professional demeanor when dealing with distressed or urgent callers.
• Excellent written and verbal communication skills.

Required skills

• Experience with Filevine or Clio (or similar legal case‑management systems).
