Healthcare Administrator

About the role

We are looking for a highly organized, detail‑oriented Healthcare Administrator to manage therapy scheduling and ensure seamless service delivery. The role is remote, working US EST hours, and supports both clinicians and clients across South Africa.

Key responsibilities

• Schedule therapy sessions accurately using the scheduling platform.
• Maintain therapist and client calendars, process changes, cancellations, and rescheduling.
• Maximize therapist availability and utilization while monitoring unconverted sessions.
• Investigate and resolve scheduling discrepancies promptly.
• Generate and distribute reports on cancellations, no‑shows, unconverted sessions, trends, and utilization.
• Maintain accurate scheduling records and monitor KPIs, escalating concerns as needed.
• Respond to scheduling‑related emails, manage a highly organized inbox, and communicate professionally with clinicians, families, and internal teams.
• Collaborate with Operations, Clinical, and Intake teams to resolve scheduling challenges and provide timely updates.

Required profile

• Previous experience in scheduling, healthcare administration, operations, or a similar coordination role.
• Exceptional attention to detail and accuracy.
• Strong organizational and time‑management abilities.
• Ability to manage multiple priorities in a fast‑paced environment.
• Excellent written and verbal English communication skills.
• Independent work style while handling a high‑volume workload.
• Strong problem‑solving skills.
