Group Travel and Fleet Coordinator

About the role

The Group Travel and Fleet Coordinator will manage all domestic and international travel arrangements for subsidiary companies while also overseeing the administration of the company’s vehicle fleet. This role supports leadership, employees and visitors by ensuring smooth, compliant and cost‑effective travel and fleet operations in a fast‑paced environment.

Key responsibilities

• Arrange flights, accommodation, car rentals and ground transport for employees, management, clients and visitors, both locally and abroad.
• Process travel requests, secure approvals and ensure compliance with company policies and budgets.
• Handle last‑minute changes, cancellations and travel emergencies.
• Coordinate with the cashbook team on foreign‑exchange needs and corporate credit‑card activation.
• Prepare detailed itineraries, maintain travel records and reconcile travel‑related invoices.
• Monitor travel spend, generate purchase orders and produce cost‑analysis reports for management.
• Manage visa applications, work permits and ensure all travellers have valid passports and required documentation.
• Liaise with travel agencies, airlines, hotels and transport providers, negotiate rates and resolve supplier issues.
• Oversee fleet administration including licence renewals, insurance claims, service bookings, pool‑car reservations, fines and related documentation.

Required profile

• Excellent organisational and administrative abilities with strong attention to detail.
• Ability to work under pressure and manage multiple priorities simultaneously.
• Good communication skills for interacting with internal stakeholders and external service providers.
• Familiarity with travel policies, visa processes and fleet management procedures.
