Executive Assistant – Remote (US Hours)

About the role
We are looking for a professional, detail‑oriented Executive Assistant to support business operations and relationship management in the architectural lighting industry. The role is fully remote, working US Eastern Standard Time (9 am‑5 pm EST), and will assist executives with day‑to‑day administrative and operational tasks.
Key responsibilities
- Reach out to clients and manufacturers to build and maintain professional business relationships.
- Support communication and coordination within the architectural lighting sector.
- Manage administrative tasks, scheduling, and correspondence.
- Maintain accurate records, spreadsheets, and documentation.
- Assist with data entry, reporting, and operational support tasks.
- Coordinate follow‑ups with clients, vendors, and manufacturers.
- Support invoicing, tracking, and administrative processes using QuickBooks.
- Organise and prioritise multiple tasks while meeting deadlines.
- Communicate professionally via email and other business platforms.
- Provide day‑to‑day operational and administrative support to executives.
Required profile
- Bachelor’s degree (BA/BS) highly preferred.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Excel.
- Basic experience with QuickBooks.
- Experience using Gmail.
- Technical understanding of architectural lighting products.
- Strong organisational and multitasking abilities.
- Ability to work independently in a remote environment.
- Attention to detail and problem‑solving skills.
- Reliable internet connection and suitable home‑office setup.
